Job Summary
The Technical Assistant provides high-level administrative and strategic support to the MP/CEO, ensuring the efficient operation of the executive office. Acting as a liaison between the CEO and key stakeholders, the role requires excellent organizational skills, business acumen, and discretion in handling confidential information.

Key Responsibilities:

  • Assist in the development and implementation of strategic business plans by conducting in depth research, analyzing industry trends, and preparing comprehensive reports and presentations.
  • Provide data driven insights and recommendations to support the MP/CEO’s strategic decisions, ensuring alignment with the firm’s long term objectives.
  • Coordinate and monitor key projects, ensuring they are completed on time and within scope. This includes tracking progress, managing timelines, identifying potential risks, and reporting on deliverables to the MP/CEO.
  • Work closely with various departments to ensure projects align with the firm’s overall strategy and goals.
  • Manage the MP/CEO’s daily schedule, including organizing and prioritizing meetings, appointments, and events to ensure effective time management.
  • Prepare detailed agendas, briefings, and meeting materials, ensuring the MP/CEO is well prepared for all engagements.
  • Follow up on action items from meetings, ensuring timely completion and reporting back to the MP/CEO.
  • Serve as the primary point of contact between the MP/CEO and internal/external stakeholders, facilitating clear and efficient communication.
  • Draft, review, and edit correspondence, reports, and other documents on behalf of the MP/CEO, ensuring accuracy, clarity, and alignment with the firm’s communication standards.
  • Analyze complex data sets to extract actionable insights that inform the MP/CEO’s decision making process.
  • Maintain organized records of all meetings, decisions, and action items, ensuring that all documentation is accurate, up to date, and easily accessible.
  • Implement and manage systems for tracking and archiving important documents, ensuring compliance with company policies and legal requirements.
  • Lead or assist in special projects and initiatives as directed by the MP/CEO, ensuring they are executed efficiently and contribute to the firm’s strategic goals.
  • Oversee all administrative tasks related to the MP/CEO’s office, including making travel arrangements, processing expense reports, and managing office supplies and resources.
  • Ensure the MP/CEO’s office operates smoothly, addressing any logistical issues promptly and efficiently.
  • Handle all sensitive information with the utmost confidentiality and discretion, ensuring the MP/CEO’s trust and the integrity of the firm’s operations are maintained.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, Economics, or a related field.
  • Minimum 5 years’ experience with at least 3 years in a similar role
  • Strong project management skills with the ability to handle multiple priorities and meet deadlines.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with senior executives and clients.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
  • High level of discretion and confidentiality.
  • Strong analytical and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Detail oriented with strong organizational skills.
