Job Purpose/Summary
This role requires exceptional organizational skills, attention to detail, and the ability to anticipate needs in a fast-paced environment. The EPA will manage schedules, coordinate travel, oversee key projects, and facilitate seamless communication with internal and external stakeholders. The ideal candidate is a problem-solver who thrives under pressure, maintains confidentiality, and ensures the Executive’s professional and personal affairs run smoothly.
Key Functions/Responsibilities:
- Provide high-level administrative support to the Executive by managing schedules, appointments, and meetings.
- Prioritize and manage multiple projects simultaneously, ensuring deadlines are met.
- Prepare reports, presentations, and correspondence on behalf of the Executive.
- Handle confidential information with the highest level of discretion and professionalism.
- Maintain and organize the Executive’s calendar, ensuring efficient scheduling of meetings and appointments.
- Plan, coordinate, and manage domestic and international travel, including flights, accommodations, and itineraries.
- Anticipate travel-related needs and address potential logistical challenges in advance.
- Act as a key liaison between the Executive and internal/external stakeholders, ensuring seamless communication.
- Prepare agendas, meeting materials, and detailed minutes for executive meetings.
- Follow up on action items and decisions from meetings to ensure timely execution.
- Assist with key business initiatives, working closely with senior leadership to execute strategic priorities.
- Manage special projects as assigned by the Executive, ensuring smooth execution and timely completion.
- Foster strong relationships with internal teams, board members, clients, and external partners.
- Assist with personal tasks and errands to support the Executive’s daily life, such as shopping, coordinating household services, and managing personal appointments.
- Handle personal correspondence, reservations, and other tasks to ensure the Executive’s personal affairs are in order.
- Oversee office operations, ensuring a smooth and organized work environment.
- Manage expense reports, budgets, and reimbursements related to executive operations.
- Coordinate event planning for internal and external executive engagements
Qualifications & Skills:
- Bachelor’s degree preferred, with 5+ years’ experience as an EPA (preferably supporting C-suite executives).
- Strong proficiency in Microsoft Office and collaboration tools.
- Excellent problem-solving, time management, and communication skills.
- Ability to handle high-pressure situations with professionalism and discretion.
